About the Role:
The People Team Executive Assistant provides administrative and operational support to leaders across the People Team at Gusto. They will partner with 2-3 leaders as an Executive Assistant and collaborate with other Executive Operations teammates to enhance the organization's success. This person will bring operational rigor, provide calendar and meeting management, and impact team morale through community and events. They will be part of the broader Gusto Executive Assistant Community and report directly to the People Team Chief of Staff.

About the Team:
The Executive Operations Team at Gusto acts as a “glue function” that ensures smooth operations across various teams. By partnering with cross-functional teams, they build relationships, communicate and cascade information, and identify solutions to gaps and inefficiencies. The People Team Executive Assistant will be functionally aligned with the People Team, which manages programs and processes for all aspects of the Employee Lifecycle—onboarding, engagement, development, and retention. This role offers the unique opportunity to influence and impact all Gusties (Gusto employees).
Here’s what you’ll do day-to-day:
- Operational Excellence: Implements and maintains operational systems and processes to enhance the effectiveness of the team.
- Calendar Support: Organizes, coordinates, and schedules meetings and events in a strategic and proactive way to reduce conflicts and increase leadership effectiveness.
- Meeting Management: Partners with leaders to build team cadences and support day-to-day meetings through notes, tracking action items, and keeping the team on track to progress.
- Travel Planner: Booking and arranging flights, hotels, and transportation.
- Gifted communicator: Communicates clearly both verbally and in writing with the leads being supported, peers on the ExecOps team, and cross-functional partners.
- Events and Community Building: Embodies Gusto Values while planning team off-sites, team-building events, and connecting the dots between different parts of the Gusto organization.
- Special Projects and Functional Team Support: Identifies and takes on specific projects that will help improve the efficiency and effectiveness of the functional team supported.
- Relationship builder: You’ll be getting to know hundreds of Gusties across the organization, as well as many external individuals. Creating meaningful and memorable interactions should be natural to you, and something that is a source of excitement.
- Trusted Partner: Uphold a strict level of confidentiality and discretion with all sensitive information.
Here’s what we're looking for:
- 5+ years of work experience, including 2 years supporting VP-level executives or General Managers, with proficiency in coordinating across departments, managing travel logistics, and event planning.
- Demonstrated ability to organize team events for approximately 50 participants, including remote and hybrid formats, and managing complex travel arrangements with many moving parts and stakeholders.
- Highly organized with a strong attention to detail, able to prioritize tasks effectively and maintain composure under pressure. Dedicated to optimizing processes and improving outcomes with expertise in major productive suites, particularly Google Apps.
- Excellent written, verbal, and broad communication abilities in and outside the organization, including communication and coordination with external parties.
- Demonstrated ability to maintain strict confidentiality in all business matters, navigating sensitive situations with professionalism and resilience.
- Strong EQ, adept at understanding and connecting with others, ability to foster a comfortable environment for colleagues at all levels, especially junior team members.
Our cash compensation amount for this role is $84,000 - $104,000 in Denver & most major metro locations, and $102,000 to $126,000 for San Francisco & New York. Final offer amounts are determined by multiple factors including candidate location, experience and expertise and may vary from the amounts listed above.
